How to use BidStaff to Write Personalize proposal with Custom Samples

Watch on YouTube

Getting started

  1. Add your Upwork profiles in Library → Profiles: name, expertise, description and keywords. Team members can write proposals for any profile set up in BidStaff.
  2. Add at least 5 samples in Library → Samples. Samples are links (Google Sheets, Docs, case studies): paste the link and write what it shows ("600 dental clinic contacts, Florida, verified").
  3. The admin adds at least 5 winning proposals that clients replied to in Library → Winning proposals. Writing unlocks after that.
  4. Write your agency knowledge in Settings: services, tools and process. Rates are only mentioned when a client asks.

Writing proposals

  1. Paste the job link first: if anyone on your team already applied, you see a red warning.
  2. Choose Short, Normal, Long or Detailed. Every option stays under Upwork's 5,000-character limit.
  3. Not sure about a job? Press "Check job match" for a 0–10 score. It uses 1 job-check credit.
  4. Does the job have screening questions? Press "Add screening questions" and paste up to 5. You get a separate answer for each, in the same tone, at no extra credit.
  5. Use the "Ask for changes" box for edits like "shorter" or "mention Apollo". Each rewrite uses 1 credit.
  6. Press "Mark as applied" to add the job to your Tracking sheet, then mark replies and wins. BidStaff learns from the proposals that win.

Team & billing

  1. Add members in the Team tab and give each one proposal and job-check credits if you like.
  2. Change plan, switch to yearly or update your card in the Billing tab.
  3. If a payment fails, writing pauses until the card is updated. Your data is always kept.
  4. Every Monday the account owner gets a weekly report email. We also email you when credits run low. Turn the weekly report off in Settings.
  5. Want free credits? Open the menu next to your credits and choose "Get free credits".
  6. Agency plans: create teams in the Team tab. In Settings set the time zone and office/apply hours, or turn attendance off.

Frequently asked

Do I need my own API key or another writing account?

No. The proposal writer is included in every plan. You never paste an API key.

Why do I have to add samples and winning proposals first?

So every proposal sounds like you and never looks automated. Before writing, every account needs at least 1 Upwork profile, 5 samples for different kinds of jobs and 5 winning proposals that clients actually replied to.

What is the job match score?

An optional check that scores from 0 to 10 how well the skills in a job description match one of your profiles, with a short reason: red 0–3, orange 4–7, green 10. It only reads the job description, not budget or competition. It uses 1 job-check credit and we always ask before spending it.

What is a credit?

Proposal credits pay for a new proposal, a rewrite or an invitation reply. Job-check credits pay for match scores. Both refresh every month, also on yearly plans.

Can I give credits to my team?

Yes. The admin can give each member their own proposal and job-check credits, or let everyone share. The admin uses whatever is left.

Who can use the profiles in BidStaff?

Team members write proposals for the profiles your agency sets up in BidStaff, and add profiles and samples. Each person sends proposals from their own Upwork account. Only the admin adds winning proposals, sees everyone's numbers and manages billing. Members see their own tracking and projects.

Do you offer custom plans?

Yes. If you need more proposals, job checks, team members or Upwork profiles than Agency Pro, use the custom plan form on the pricing page and we will set up limits and a price for your team.

Is there a free plan or a free trial?

Yes, both. One freelancer can start on the free plan with no card: 15 proposals, 15 job checks and 20 tracked projects every month, plus extra credits for sharing BidStaff. The free plan works on the website, and in the browser extension you can add profiles and samples and check job scores; writing proposals and invite replies in the extension needs a paid plan or a card trial. Agencies and teams start with a 14-day free trial with a card. Every paid plan has a 14-day free trial. You add a card to start, and trial credits are 25% of the plan. You can pay any time to start the full plan. If you cancel before the trial ends you are not charged; your credits end, but your data is kept. One free account and one trial per person.

Can BidStaff answer screening questions?

Yes. Paste up to 5 screening questions with the job post. Each one gets its own answer in the same tone as the proposal, ready to copy into its box on Upwork. It is included in the proposal credit.

Does it get better over time?

Yes. When you mark a job as replied or won in Tracking, that proposal becomes a winning example for its profile, so new proposals for similar jobs follow what worked. You can turn this off in Settings.

Will I get reports by email?

Every Monday the account owner gets a weekly report with proposals generated, replies, clients won, revenue and connects spent for each Upwork profile. We also email you when your credits are running low.

Can I get free credits?

Yes. Share a post about BidStaff on LinkedIn or Facebook and send us the link from the Help menu in the app. We check it by hand within 1–3 business days and add bonus credits that never expire.

Can I buy extra credits?

Yes. In Billing, any account can buy extra packs of 50 proposal credits + 50 job checks for $3.00. Credits are added right after the payment succeeds and never expire.

Can I get a refund?

Yes. Ask for a refund within 3 days of your first payment for a plan and we refund it in full. Later renewals are not refundable except where the law of your country says otherwise. You can cancel any time and keep access until the end of the paid period. Details are in the Refund Policy.

Does BidStaff log in to Upwork or send proposals for me?

No. BidStaff never connects to your Upwork account and never sends anything for you. It writes and tracks; you review every proposal and send it yourself from your own Upwork account, following Upwork's Terms of Service.

How can I pay?

By card, Apple Pay or Google Pay through our reseller Paddle, or through PayPal, which also takes debit and credit cards without a PayPal account, depending on what is available in your country. Subscriptions renew automatically and you can cancel any time in Billing.

Is my data private?

Each account is completely separate. Other customers can never see your profiles, samples, proposals or numbers.

Is this an Upwork product?

No. BidStaff is an independent tool. You still send proposals yourself on Upwork.
